Privacy notice

How Ovia Group Ltd handles the personal information you share with us through this website or by getting in touch. Last updated October 2026.

Who we are

Ovia Group Ltd is the controller of the personal information described here. We are registered in England and Wales, company number 15976638, and based in Liverpool.

Questions about this notice or your information go to Luke Broadhurst, Director, at luke.broadhurst@oviagroup.co.uk or on 07398 641605.

What we collect

If you use the form on this website, we collect the email address you enter. If you email or call us, we hold what you choose to share, which is usually your name, organisation, role, contact details and the subject of your enquiry.

If you become a client, we also hold the contact and project information needed to deliver the work and keep proper records of it.

We do not use analytics or advertising cookies on this website, and we do not buy contact lists.

How we use it

We use your details to reply to your enquiry, to arrange and hold conversations you have asked for, and to deliver and administer any work you engage us for.

We do not add you to a mailing list or send you marketing because you contacted us, and we never sell your information.

Our lawful basis for replying to enquiries is our legitimate interest in responding to people who contact us. For client work it is the contract between us, and for keeping financial and tax records it is our legal obligations.

Who processes it for us

A small number of providers handle information on our behalf, under contract and only on our instructions. Wix hosts this website and receives submissions from the form. Google provides our email. The website also loads its typeface from Google Fonts, which means your browser shares your IP address with Google when a page loads.

Some of these providers store data outside the UK. Where they do, the transfer is covered by UK adequacy regulations or the appropriate UK transfer safeguards.

We will only share your information with anyone else where the law requires it, or with your agreement as part of work you have asked us to carry out.

How long we keep it

Enquiries that do not lead to work are deleted within two years of our last contact. Client records are kept for six years after the work ends, in line with standard contractual and tax record keeping, and then deleted.

Your rights

You can ask for a copy of the information we hold about you, and ask us to correct it, delete it, restrict how we use it or stop using it. You can also ask for information you gave us to be passed to you or another organisation in a usable format. Contact us using the details above and we will respond within one month.

If you are unhappy with how we have handled your information, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113.

Changes to this notice

We will update this notice if the way we handle personal information changes. The date at the top shows when it was last revised.
